Scheduler import process

These directions are for the scheduler and anyone with scheduler permission (which is limited). Use these steps when obtaining import files from Pegula as far as as getting the ice slots in place quickly so that you can associate teams and build out the calendar for practices, games, etc.

Step 1

• Take the schedule that the rink manager gives us, attached here as what-the-rink-gives-us.xlsx and open it in excel
• Quickly verify that the slots are as expected, then save a copy as what you want to import (or just keep original in email that's fine)

Step 2

• Review the space-template.xlsx file which Crossbar gives us on this page - https://www.scyiha.org/dashboard/schedule/upload
• Copy the column data from the rink copy into the template. The 1st column will always be Pegula Ice Arena then Space as the rink, date, start time, end time, duration
• If we know the teams involved there is a code on the page so that that setup can be automated as well; typically we will not know this on import so it's probably easier to just click and associate to be sure
• Name the file something related to what you are importing like nldp-ice-slots or whatever when that comes in

Step 3

• Upload the file to the import interface. You'll end up getting a message after the fact that is something like the attached:​
• Verify everything looks alright, paying attention to duplicate / errors if they exist (hopefully not)
• Then you can go and associate teams to slots as necessary
